Why Does This Report Exist?
KAYA Performance Reports are designed to give you clear, actionable insight into how your gym is performing on the KAYA platform — and how your teams can leverage it to strengthen member engagement, routesetting visibility, and community participation.
KAYA serves as your digital layer for community engagement, connecting members to your climbs, your setters, and your programming. This report helps answer critical operational questions, including:
Are members discovering and engaging with your climbs?
Are routesetting teams contributing content that drives engagement?
Are community initiatives like challenges effectively activating members?
Which locations are outperforming others, and why?
By tracking these signals, you can identify where engagement is strong, where opportunities exist, and which operational actions will deliver the greatest impact.
How Automated Reports Work
KAYA Performance Reports are now delivered automatically on a schedule you configure. Once set up, your report is produced at the end of each reporting period and sent directly to the contacts you designate — no manual requests needed.
Setting up your report
Before your first report is delivered, a one-time setup is required inside KAYA Gym. Once saved, your report will be delivered automatically at the end of each configured period. To learn more about configuring your report, read the support article here.
What's in your report
Health Score Summary — Your three KPI scores (out of 10) with month-over-month/quarter-over-quarter changes shown at the top of the report.
Executive Summary — A narrative overview covering the highlights and key concerns across all three categories. Read this first for the big picture.
Category Breakdowns — A detailed table and written analysis for Community Engagement, Routesetting Activation, and Marketing + Events Activation. Each metric shows your gym's data, the change from the prior period, the benchmark target, your score, and a status indicator.
60-Day Recommended Actions — Two to three prioritized, time-bound action items tailored to your gym's data. Each action includes a rationale explaining why it matters for member engagement and retention.
How reports are delivered
Email — Sent automatically to the contacts you configured at the end of each reporting period. The full report is included in the email body — no login required to read it.
In KAYA Gym — Accessible inside the KAYA Gym dashboard for admin users. Reports are stored so you can reference previous periods.
Access
Reports are available to all admin users in KAYA Gym.
Defining The Health Metrics In Your Report
Each report evaluates your gym across three core health categories: Community Engagement, Routesetting Activation, and Marketing + Events Activation. Together, these categories measure how well KAYA is integrated into your member base, how effectively your routesetting is represented digitally, and how consistently you are using KAYA as a communication and programming platform.
Each health category is scored out of 10 points. Within each category, individual sub-metrics are weighted based on their relative importance to overall platform health. When scores are strong across all three categories, they indicate a healthy, connected, and activated digital climbing ecosystem.
For multi-gym reports, an overall health score of 10 points is shown to help indicate and rank chain-wide overall gym health.
A Note on Estimated Gym Size
We estimate your gym’s membership size using internal research, facility footprint, location, and industry benchmarks. This estimate is used to normalize adoption and follower rates so performance can be compared fairly across different gym sizes.
If you would like more precise reporting, you can provide a general active membership count directly in KAYA Gym. Updating your membership size allows us to recalibrate benchmark comparisons and ensure your Health KPIs reflect the most accurate possible performance view. Data you share with KAYA is private and used for analysis only. To update your membership, locate the membership field in Settings —> Gym.
Community EngagemenT
Community Engagement measures how connected your members are to KAYA and to each other. Strong Community Engagement indicates that KAYA is embedded into the daily climbing experience of your members.

Routesetting Activation
Routesetting Activation measures how well your physical climbing product is represented digitally inside KAYA. It reflects the quality and completeness of your digital guidebook — including tags, beta videos, ratings, and visual clarity. When this category is strong, your climbs are easier to discover, understand, and engage with both in and out of the gym.

Marketing + Events Activation
Marketing + Events Activation measures how actively you are using KAYA as a programming and communication platform. This category evaluates whether you are running challenges, communicating with members, and maintaining a strong digital presence. Strong performance here indicates that KAYA is being used to create momentum, drive repeat visits, and strengthen community engagement.

The Benchmark Gym
When reading your report, you will see your gym's performance compared against KAYA's benchmark gym. This benchmark is built from aggregated platform data and reflects consistent usage patterns observed at gyms with strong digital engagement.
The benchmark gym represents healthy performance across all three health categories: Community Engagement, Routesetting Activation, and Marketing + Events Activation. It is designed to reflect a level of activation that reliably correlates with strong member participation and ongoing platform usage.
When a gym meets or exceeds a benchmark, it demonstrates that KAYA is being actively used by climbers, supported by the setting team, and leveraged for communication and programming.

How the benchmark is built: KAYA's benchmark is constructed from aggregated usage data across gyms with consistently strong platform engagement. Your gym's performance is indexed against this benchmark to show where you stand relative to what healthy usage looks like. All analysis is performed anonymously — no attributable data is shared with other partners outside of KAYA.
How To Read Your Report
Each report follows a consistent structure. Here is what to look for in each section and how to interpret it.
1. Health Score Summary
The top of your report shows your three KPI scores — each out of 10 — with a change indicator showing how each score shifted from the prior period (for example, ▲ 0.1 means the score increased by 0.1 points). A score of 7.0 or above in a category indicates strong activation. Scores below 5.0 signal meaningful gaps worth prioritizing.
2. Executive Summary
A narrative overview that synthesizes your performance across all three categories. Read this first — it surfaces the most important insight from the report without requiring you to interpret the numbers yourself. The summary highlights your strongest category, identifies the most pressing concern, and points to the single highest-leverage action available.
3. Category Breakdowns
Each of the three health categories has its own section with a detailed metric table followed by a written analysis. The table shows your gym's data, the change from the prior period (↑ ↓ →), the benchmark target, your score, and a status indicator — ✅ for at or above benchmark, ⚠️ for below benchmark. The written analysis below the table explains what the numbers mean in practice and flags metrics that are close to a threshold — meaning a small improvement would yield a meaningful score increase.
4. 60-Day Recommended Actions
Two to three prioritized action items tailored to your gym's data. Each includes a title and timeframe, a step-by-step description of what to do, and a "Why does this matter?" section connecting the action to member engagement and retention outcomes. Actions are ordered by impact — start with the first item.

Data Privacy and Anonymization
All data analyzed in this report is anonymized prior to processing. This means:
Individual member identities are never exposed or analyzed.
All insights are derived from aggregated and anonymized behavioral patterns.
The system identifies trends, engagement levels, and opportunities without accessing personally identifiable information.
Your organization retains full ownership and control of your data at all times.
You can always opt out of configuring these reports if you prefer not to receive automated reports.

Glossary of Terms
Active User – A climber who engaged with KAYA at your gym during the reporting period (viewing climbs, logging sessions, rating, watching beta, participating in challenges, etc.).
Adoption Rate – The percentage of your estimated membership actively using KAYA during the reporting period.
Average Challenge Participants – The average number of climbers participating per challenge during the reporting period.
Average Star Rating – The average rating (1–5 scale) given to climbs during the reporting period.
Benchmark – The performance threshold that represents strong usage based on platform-wide data.
Beta Video Coverage – The percentage of active climbs that have at least one beta video uploaded.
Challenge – An event created and run using the KAYA Gym Challenge module. A valid challenge requires at least 10 participants.
Climbers Following Other Climbers – The percentage of members who follow other members inside your gym’s KAYA community.
Digital Front Desk – A customizable section within KAYA that provides members access to important gym information such as policies, waivers, or events.
Estimated Gym Size – The membership size used to normalize Adoption Rate and Follower Rate when an official membership count has not been provided.
Executive Summary – A narrative overview at the top of your report summarizing performance across all three health categories and identifying the most important insights for the period.
Exceptional Performance – The performance level required to earn full scoring for a metric.
Follower – A climber who follows your gym’s profile on KAYA and receives updates about new sets, challenges, and News Feed posts.
Follower Rate – The percentage of your estimated membership following your gym’s KAYA profile.
Health KPI (Key Performance Indicator) – One of the three major performance categories in your report: Community Engagement, Routesetting Activation, or Marketing + Events Activation. Each KPI is scored out of 10 points.
In-Gym Display – A physical KAYA display or visible signage installed in your facility to promote platform awareness.
News Post – A message shared through your gym’s KAYA News Feed to communicate updates, events, or announcements.
Routesetting Feedback Rate – The percentage of Active Users who provide ratings or feedback on climbs.
Tag Coverage – The percentage of climbs that include descriptive data tags such as style, movement type, or hold type.
Zone Photo Coverage – The percentage of zones or walls that have a photo displayed inside KAYA.
